From 1st April 2026, you will no longer be required to fill out the excel room hire template. Instead, if you are claiming for room hire you must fill out a room hire claim form on the appointment within Penelope. The form will be found in the documents drop down on each event.
The requirement will be to fill out this quick form for each appointment that you are using an external or private room for and wish to claim expense for. Regardless of if the sessions were attended or no show, you can complete the room hire claim form.
Given that you have been completing the excel document external to the Penelope system, our hope is that completing the claim directly within Penelope will be much more efficient and user friendly!
The claim form can also be completed for past events (i.e. if you added an appointment on 2nd April, you could still complete the room hire claim on the event later in the month).
The process is very straightforward and detailed in the ‘How to complete Venue Room Hire Expenses Claim’ document.
